ANNUAL CHILD CARE STATEMENT Child Care statements can be run and printed using PRCS Connect at loudoun.gov/PRCSConnect, under “My Account > Reports > Child Care Statement.” The report will be sent to the email address associated with your PRCS Connect account, and a statement can be printed for any calendar year but, the desired tax year must be selected. NEW! AUTOMATED WAITLIST PRCS will notify families via email if a spot in a program opens. If an opening becomes available, the first individual on the waitlist will receive an automated email notification with an offer to register. The automated system runs 24-hours a day, seven days a week. This email will direct customers to log in to their PRCS Connect account to accept or reject the offer. Upon accepting, individuals will be prompted to complete the registration and payment process, pay the deposit or full payment depending on the program and timing. If the enrollment offer is not accepted or rejected within 36 hours of receiving the email, it will automatically be considered a rejection. The individual will be removed from the waitlist, and the next eligible person on the waitlist will be contacted. If you want to rejoin the waitlist, you will need to register again. The automated waitlist process will close 14 days prior to the start of the program/camp or 7 days prior to a recreation class, after this time registration is managed by staff. Additional details on the automated waitlist process can be found at loudoun.gov/PRCSAutomatedWaitlist. For programs/camps that require a deposit, please contact the site that offers the program/camp if you want to be unenrolled from another camp or have want to transfer the deposit. To ensure you receive automated waitlist emails, please be sure to check and verify your primary email address in your PRCS Connect household. PROGRAM REFUNDS & CANCELLATIONS If you need to cancel a class/program registration, and you can make the request 15 or more days before the start date, a full refund will be offered. If you cancel a class/program registration 14 or fewer days before the start date, a 50% refund will be offered. If a customer requests a refund after the start of the program, camp, or rental, they shall not receive a refund. Cancellation requests must be submitted in writing. The request should be dated and sent by email, fax, or mail directly to the facility or program manager offering the class/program. If you are dissatisfied with the quality of a class/program in which you are currently enrolled, you may request a refund according to the refund policy or policy provided by the specific program. Our goal is to ensure quality programs. For Senior Trips: there are no refunds, although a refund minus a 25% administrative fee may be issued if the spot is resold. If a participant needs to forward a spot for medical reasons, please call 571-258-3050 or 571-258-3051 at least one week prior to trip. For Community and Recreation Center Trips: Refunds can be requested 15 or more days before the start date, a 50% refund will be offered and 14 or less there no refunds will be offered. For announcements regarding information about County Government updates sign up for Alert Loudoun at loudoun.gov. For questions related to any PRCS program, event, or reservation, please email prcs@loudoun. gov or call 703-777-0343. Please note, PRCS sends emails about program updates and evaluations. REGISTRATION Online and walk-in registration for all activities begins at 6:30am on Thursday, 5/7/26 for county residents and begins at 6:30am on Thursday, 5/14/26 for out-of-county residents. Walk-in registrations are available during business hours by location. Senior Day and Overnight Trips: online and walk-in registration begins at 9:00am on Wednesday, 5/6/26 for County residents and senior center members (County or out-of-county). Senior Trips registration begins at 9:00am on Wednesday, 5/13/26 for out-of-county residents (who are not members). Overnight trips require in person registration. Annual Senior Center Membership fees are $36 for County residents and $54 for out of County residents. Plus Membership Early Registration Access: Plus programs are identified with a symbol by the program title. The person being registered for a program must hold their own valid Plus Membership at the time of enrollment to receive any early enrollment benefit. Priority recreation program registration: one-week advance registration for select seasonal Recreation Center programs. Excludes swim lessons, summer camps, preschool, and child care. PRCS CONNECT ONLINE REGISTRATION PRCS Connect is our online registration system for enrolling in PRCS activities, using a household identification number and password. A new household account can be requested online at loudoun.gov/ PRCSConnect under “Create a new Account.” The first person listed in each household should be an adult. Each household account can host multiple members and will be utilized to register and pay for activities using VISA, Discover, or MasterCard. For forgotten account IDs or passwords select “Login” for assistance. If additional assistance is required, please contact a local PRCS center, park or the Administrative Office before the first day of registration! ePACT PRCS is using ePACT, the documentation and support network, to collect the paperwork our department needs and what is required by the Virginia Department of Education Child Day Care Center Standards. Additional documentation is necessary for Adaptive Recreation, and licensed Preschool and Child Care, and needs to be completed by the parents and guardians before a child can attend those programs. Once you have enrolled your child in a program, you will receive an email from Loudoun PRCS/ePACT. PAYMENTS Registration fees are due at the time of registration, unless otherwise noted. Online registrations must be paid by credit card. In-person payments can be made by cash and credit card, or check and money order, made payable to “County of Loudoun.” Payments by check or money order can also be mailed to the PRCS Administrative Office
