2026 Summer Camp Guide

This email will direct customers to loge in to their PRCS Connect account to accept or reject the offer. Upon accepting, individuals will be prompted to complete the registration and payment process, pay the deposit or full payment depending on the camp and timing. If the enrollment offer is not accepted or rejected within 36 hours of receiving the email, it will automatically be considered a rejection. The individual will be removed from the waitlist, and the next eligible person on the waitlist will be contacted. If you want to rejoin the waitlist, you will need to register again. The automated waitlist process will close 14 days prior to the start of the camp, after this time registration is managed by staff. Additional details on the automated waitlist process can be found at loudoun. gov/PRCSAutomatedWaitlist. Please contact the site that offers the camp if you want to be unenrolled from another camp or have want to transfer the deposit. To ensure you receive automated waitlist emails, please be sure to check and verify your primary email address in your PRCS Connect household. CLOSINGS/POSTPONEMENTS In case of inclement weather, public holidays or emergencies, the Department will determine cancellation or postponement of programs. If you are in doubt as to whether or not camp activities will be held, please contact the location or program offering the camp or call 703-777-0343. PRESCHOOL CAMPS Children need to be potty trained to attend preschool aged camps.

ALLERGIES If a child has an allergy, parents must supply a complete list of foods or allergens specific to their child(ren). This information can be provided through ePACT or PRCS Connect; additionally, parents can share information with the staff at our camp sites. PROGRAM REFUNDS & CANCELLATIONS If you cancel a camp registration and make the request 15 or more days before the start date, a full refund will be offered. If you cancel a camp registration 14 or fewer days before the start date, a 50% refund will be offered. Camps that require a nonrefundable deposit shall receive a refund depending on the date the request was mas made, minus the nonrefundable deposit. Refund requests shall be submitted in writing and include the name of the participant and the camp activity number. Written requests must be dated and submitted by email, fax, or mail to the site or program manager. If you are dissatisfied with the quality of a camp in which you are currently enrolled, you may request a refund according to the refund policy or policy provided by the specific program. Our goal is to ensure quality programs. PRCS reserves the right to cancel, postpone or change any camp due to insufficient enrollment, inclement weather, public holidays or emergencies, or other reasonable causes. A full refund (including any applicable fees) will be offered if PRCS cancels. NEW! AUTOMATED WAITLIST Starting with Summer Camp registration, PRCS will notify families via email if a spot in a camp opens. If an opening becomes available, the first individual on the waitlist will receive an automated email notification with an offer to register. The automated system runs 24-hours a day, seven days a week.
